Routine Deadlines
- Student Employee Performance Appraisal (sample - official is in the Adobe Sign library) - due annually in December and can be conducted three months after the employee’s start date.
- Family Educational Rights and Privacy Act (FERPA) — ensure student employees complete this training online every two years.
- Appropriate Use Agreement for Student Assistants (ITS-2803) due annually.
- Retain a signed copy for the department’s records.
- Email the signed agreement to the Experiential Learning Office and/or Financial Aid, depending upon the employee's position classification.
Check Eligibility
Routinely check your student employee’s enrollment to ensure that they:
- Remain in good academic standing in pursuit of a degree
- Are employed under the job code that matches the number of units they are enrolled in
Payroll
When you approve a student employee’s timecard, make sure that they entered their hours under the correct job code.
Student employees are not eligible for overtime pay, shift differential, stipends or commissions.
Hours
20 hours a week while school is in session or during academic breaks if they are enrolled at least half-time. 40 hours per week during summer and winter sessions, if they are enrolled less than half-time. Student employees may hold more than one job as long as the combined hours do not exceed the hourly restrictions. - Student employees are not permitted to work overtime.
Breaks
Students should not work more than six hours at a time without a break.
Supervisors may decide when breaks are taken. Breaks should not be scheduled at the beginning or end of the work shift. Unused breaks are not cumulative or eligible for pay.Hours Worked in a Day | Mandatory Break |
